How to Automate Background Checks with Make and Fastkey

How to Automate Background Checks with Make and Fastkey

If your team already builds automation on Make (formerly Integromat), you can now plug Fastkey directly into your scenarios. Send identity verification, criminal record checks, AML/PEP screening, and CRA document collection requests automatically — and route every completed report wherever it needs to go. No code, no copy-paste, no missed steps.

What is Make?

Make is a no-code automation platform that lets you connect thousands of apps into visual workflows called scenarios. Each scenario is built from modules that respond to a trigger or perform an action — drag, drop, map fields, and you have automation running in minutes.

For example: when a new candidate is added to your applicant tracking system, Make can automatically send them a Fastkey criminal record check, save the completed PDF to Google Drive, log the result to Google Sheets, and notify your hiring channel in Slack — all from a single scenario.

What Can You Automate with Fastkey + Make?

Fastkey's Make app includes a webhook trigger, four dedicated action modules, and a Universal module that can call any Fastkey API endpoint:

Trigger: Report Completed

Fires automatically the moment a verification finishes — identity verification, criminal record check, AML/PEP screening, or CRA documents. The trigger payload includes:

  • Applicant name, email, and phone
  • Report ID and service type
  • Time-limited PDF download link
  • Criminal record check result (Negative, Incomplete, or Confirmation) with full RCMP explanation text
  • Identity verification status, AML status, and PEP status
  • Police service name, officer ID, and serial number (for CRC reports)

Action: Send Verification Request

Send any verification type to an applicant. Provide the applicant's name and email, choose the service, and Fastkey emails the applicant a link to complete their verification.

Action: Get Account Pricing

Pull the current pricing for your account, including any custom rates. Useful for cost-tracking, approval workflows, or simply showing live prices in an internal tool.

Action: Get Report Status

Look up the current status of any verification by Report ID. Combine with a scheduler to build status dashboards or reminder scenarios.

Action: Cancel Report

Cancel a pending verification by Report ID before it has been completed — useful for handling withdrawn candidates or duplicate requests.

Universal Module

Need to call a Fastkey endpoint that doesn't have a dedicated module? The Universal module lets you call any path on the Fastkey API with full authentication handled for you. Perfect for power users and brand-new endpoints.

Available Verification Services

Every Fastkey service is available through Make:

  • Identity Verification — Verify identity using government-issued photo ID and facial recognition
  • ID Verification + AML/PEP Screening — Identity check plus Anti-Money Laundering and Politically Exposed Persons screening
  • Standard Criminal Record Check — Name-based search of the RCMP National Repository of Criminal Records
  • Enhanced Criminal Record Check — Standard check plus local police records (PSP/RMS) and court registries
  • CRA Document Collection — Collect Canada Revenue Agency tax documents (2–5 tax years)

Use the Get Account Pricing module to confirm your rates before sending in production.

5 Scenario Ideas to Get You Started

1. Save Completed Reports to Google Drive

When a report is completed, automatically download the PDF and save it to a Google Drive folder organized by applicant or date. Solves the "where do I store these PDFs" problem permanently.

Trigger: Fastkey Report Completed → Action: Google Drive Upload File

2. Log Every Result to Google Sheets

Build an audit-ready compliance log. Each row captures the applicant, service type, RCMP result, full explanation text, police service, and PDF link.

Trigger: Fastkey Report Completed → Action: Google Sheets Add a Row

3. Send Slack Notifications

Get instant Slack notifications when a check completes — including the result, applicant name, and a link to the PDF. Stop checking dashboards.

Trigger: Fastkey Report Completed → Action: Slack Create a Message

4. Trigger Checks from Typeform or a Webhook

Use any Make trigger — Typeform, Google Forms, JotForm, or a custom webhook — to automatically send a Fastkey verification request whenever a new candidate or tenant submits the form.

Trigger: Typeform New Entry → Action: Fastkey Send Verification Request

5. Update Your CRM Automatically

When a verification finishes, update the matching contact or deal in HubSpot, Pipedrive, Salesforce, or Zoho with the result and PDF URL.

Trigger: Fastkey Report Completed → Action: HubSpot/Salesforce/Zoho Update Contact

Understanding Criminal Record Check Results

When a CRC completes through Make, the trigger payload includes a structured result and a plain-English explanation:

Negative: No criminal records were identified matching the applicant's name and date of birth in the RCMP National Repository of Criminal Records. This is the most common result.

Incomplete: The search could not be completed based on the information provided. The applicant may need to submit fingerprints to the RCMP for positive identification. This does not mean a record exists — just that more information is needed.

Confirmation: A possible match to a criminal record was found based on name and date of birth alone. An absolute confirmation requires fingerprint comparison. The full explanation text is included in the webhook payload.

For Enhanced Criminal Record Checks you also receive a separate result and explanation from local police records (PSP/RMS) and court registries.

Webhooks Include PDFs and Structured Data

Reports delivered through Make automatically include both the PDF download link and structured JSON results — CRC result, full explanation, police service, officer ID, serial number, IDV/AML/PEP status. You can route the PDF wherever you need it and use the structured fields for filters, decisions, and CRM updates in the same scenario.

Heads up: PDF download links are time-limited (15 minutes, 5 downloads) for security. Make runs scenarios within seconds of the webhook arriving, so this is more than enough — but we still recommend uploading the PDF to long-term storage as the next step in your scenario.
